Primary Responsibilities:
1) Directs and coordinate Agency accounting and budget functions.
2) Directs day-to-day operations of the accounting department; including general ledger, accounts payable/receivable, purchasing, payroll, bank reconciliations, insurance and tax reports and planning and monitoring of cash flow
3) Manages payroll processing utilizing the ADP system
4) Monitors and analyzes monthly operating results against budget.
5) Manages the preparation of the official annual report of actual revenues, transfers and expenses.
6) Formulates, recommends and implements sound fiscal policies, procedures and controls
7) Develops and maintains a system for managing fixed assets.
8) Trains and supervises staff on fiscal procedures, budget management and use of accounting software.
9) Ensures adherence to internal fiscal quality control systems throughout the agency.
10) Performs month-end closing process; issues pre-determined financial reporting package.
11) Assists in preparation of the annual agency budget in coordination with senior managers, program directors and the Finance Committee
12) Manages input of the board-approved agency budget into accounting system.
13) Resolves all issues, disputes and requests involving Hetrick-Martin Institute tax and reporting obligations with the IRS.
14) Works with Development and Program to ensure that fiscal requirements for grants and contracts are identified, realized and monitored
15) Provides guidance to the Grants Manager in the preparation of periodic reports to funding source.
16) Works in conjunction with the grants manager to ensure compliance with funder restrictions
1) Works closely with auditors on completion of the annual agency-wide audit
2) Prepares supporting schedules as necessary
3) Coordinates government agency and other outside audits
NETWORK ADMINISTRATOR
Unit: Operations
Department: Information Technology
Reports to: Director, Information Technology
Responsibilities:
1. Assist in day-to-day management and monitoring of HMI?s IT department towards ensuring efficient and effective operation of all equipment and systems to meet agency needs.
2. Develop and coordinate network systems to meet the present and future communications needs at HMI.
3. Develop and coordinate IT helpdesk efforts to ensure technology users are properly supported to optimize their use of the information system at HMI.
Essential Duties and Tasks:
1. Provide Network Administration Management and Services
a. Participate in the configuration of the network, research technical manuals and brochures, and recommend purchases of software, hardware and peripherals.
b. Maintain necessary backups and archives.
c. Perform system backup and data recovery.
d. Assist in set up and testing of new equipment.
e. Install software and rebuild computers as needs arise.
f. Provide support for special projects.
g. Test and evaluate the hardware and software to determine efficiency, reliability, and compatibility with the system and upgrade components.
h. Recommend changes in technology as it relates to operational technology.
2. Develop and maintain IT inventory:
- Maintain and track all software, computers, printers, cabling, and monitors required for Internal Support utilizing databases to ensure assets are accounted for.
3. Provide Direct Hardware and Software Repair and Maintenance.
a. Perform PC hardware/software upgrades and troubleshoot all PC related problems.
b. Provide timely information and direct services to network users concerning their access to resources on the network and the operation of various software programs.
4. Coordinate all IT helpdesk efforts:
a. This will include but not be limited to answering the helpdesk phone, entering staff members requests into a database, track status, update staff with status, compile reports as requested.
b. Enter and update helpdesk tickets into the helpdesk software.
c. Generate periodic reports for the staff and management.
5. Provide Direct Hardware and Software Repair and Maintenance
a. Perform PC hardware/software upgrades and troubleshoot all PC related problems.
b. Provide timely information and direct services to network users concerning their access to resources on the network and the operation of various software programs.
c. Provide technical support with digital cameras, graphics software, etc.
6. Website Management
a. Maintain and update HMI website as needed.
7. Coordinate and Provide IT Training to staff:
a. Train staff and students, including brief tutorials, usage tips, and basic ?how-tos.?
8. Departmental Management
a. Assist Director of IT with departmental budgeting.
b. Follow up on risk-management issues for department and agency wide risk to IT Infrastructure.
i. Assist with development and updating of departmental policies and procedures.
c. Manage all agency-wide IT functions is Director?s absence.
9. Department Monitoring
a. Provide monitoring and oversight for purposes of quality and compliance.
10. Other duties as assigned by supervisor.
Knowledge, Skills and Abilities Required:
1. Bachelor?s Degree in Computer Science, Science, Math, Electrical Engineering or related area; or equivalent experience.
2. Minimum 3 years experience in tech support.
3. Knowledge of TCP/IP, Macintosh, Windows98/ NT 4.0/2000, Windows XP, Exchange 2003, M.S Office
4. Knowledge of anti-virus software.
5. Knowledge of back-up software; Veritas, Computer Associates preferred.
6. Knowledge of databases and report creation.
7. Ability to exercise independent judgment when appropriate; strong decision-making skills.
